How can I customise my opportunity application form?

This article shows group managers how to customise an opportunity application form.

Customised application forms are available only to Be Collective Plus, Pro and Full Platform subscribers. If your group is subscribed to Be Collective Starter, you can select an application form template but you cannot edit, add or remove questions, or save custom forms.

As part of the opportunity creation process, Volunteer Managers are given control over their application form.

From someone agreeing to an organisation's rules for volunteers, induction and training availability, their date of birth, whether or not they have a driver's licence or working with children's check, and their interests — a Volunteer Manager can customise the application form based on their organisation's needs.

Open the form builder

  1. Open your group management page and create or edit an opportunity

  2. Go to Step 3 – Application in the opportunity builder

  3. Click Customise to enter the form builder

Expanding the friendly reminder section shows which fields are included by default in the application form.

The Volunteer Details fields are populated automatically from the personal profile of each volunteer, making the process quicker and easier for them and improving data collection for you as a volunteer manager.

The Group application form section contains questions you set up in your Group Application. If the volunteer is already a member of your group, these questions will not appear. If they are not a member of your group, these questions will be shown, allowing the volunteer to submit group and opportunity applications together from the same form.

Add a commonly used question

  1. Click Add new field in the left menu

  2. Click a pre-set question (e.g. Driver's Licence) to add it to your form

  3. Edit the wording as needed, or click outside the question box to exit edit mode

Other commonly used questions cover background checks, access to vehicles and medical conditions.

Add a custom question

  1. Click Add new field in the left menu

  2. Choose a generic question type from the list

  3. Enter your question text (and answer options for choice-based types)

The generic question types are as follows:

  • Short Answer — a short one-sentence free text response

  • Long Answer — a detailed free text response

  • Single Choice — choose only one from a short series of options (includes pre-set Yes/No)

  • Multiple Choice — choose one or more from a short series of options

  • Dropdown — choose from a longer series of options (Settings allows single or multiple choice)

  • Toggle — yes/no switch, useful for compulsory questions such as acceptance of background checks

  • Date Range — select a block of dates when the volunteer is available

  • File Upload — upload supporting documents

  • Heading — break your form into clear sections

  • Paragraph — add free text such as an introduction (supports hyperlinks via the rich text editor)

Make a question mandatory

  1. Click on the question

  2. Click Settings to its right

  3. Switch Required to on

  4. Click Save

After saving, you'll see a Required banner above the question.

Add helper text

  1. Click on the question

  2. Click Settings

  3. Enter helper text (e.g. "Please select all answers that apply")

  4. Click Save

Helper text will appear below the question and any answer choices provided.

Save your form as a template

When you've finished customising, click Add to My forms to save the form for reuse on future opportunities. See How do I save a custom application form?
