How do I replace a volunteer with another volunteer on a shift?

This article shows group managers how to replace an approved volunteer with another volunteer on a shift.

If a volunteer is no longer available for a shift they have been assigned to, you can remove the volunteer and roster on a new volunteer who is available in a few easy steps.

Open the shift

  1. Open your group management page

  2. Open the Schedule tab

  3. Select the relevant opportunity from the drop-down menu in the top-left corner

Once you have selected the opportunity you're looking for, all approved volunteers for this opportunity will appear on the left-hand side and the shifts for the opportunity will appear in the calendar view.

  1. Open Rostering (from the left-hand sidebar, or from the opportunity's Rostering tab)
  2. Select the shift you need to manage, then open the shift details page (Manage shift from the shift pop-up, or select the shift from the roster)

Remove the original volunteer

  1. Click Remove next to their name on the shift details page

The volunteer will receive in-app and email notifications letting them know they've been removed from the shift, but we encourage you to contact the volunteer before performing this action.

Assign a replacement

  1. Use Rostering to assign the new volunteer to the shift
  2. Confirm your changes in the assignment bar

The new volunteer will receive in-app and email notifications to let them know they've been rostered on to the shift. Again, we suggest you contact the volunteer beforehand.

When you're done, the updated roster will appear on your Schedule.

Do I need to remove a volunteer before adding a new one? No — if you prefer, you can add a new volunteer first and, if necessary, wait for them to confirm their availability before removing the original volunteer.

This can be done regardless of how many volunteer positions you've specified for the shift in question — for instance, if you've only made one volunteer shift available, you can still have two volunteers assigned (the original volunteer and their replacement) at any time.
