How do I manage members of my group?

This article shows group managers how to manage group members, and access group member details.

You can manage members, such as assigning them to an upcoming or current volunteer role, from the Members tab on your group management page.

Open a member profile

  1. Open your group management page

  2. Open the Members tab

  3. Open the Approved tab

  4. Find the member and click Manage next to their name

From the member profile you can:

  • Click Message to contact the member privately

  • Click Assign to assign them to a volunteer role or shift

  • View contact details (synced from the member's Be Collective profile)

  • View upcoming shifts

Add notes

  1. On the member profile, open the Details tab

  2. Click + Add in the notes section

  3. Enter your note and save

Notes are visible only to owners and administrators — not to the member or other Be Collective users.

Add qualifications

  1. On the member profile, open the Qualifications tab

  2. Click + Add new in Licences and certifications or Education

  3. Enter the details and save

To edit an existing item, click the pencil icon next to it.

Why can't I add a Working with Children Check? For unregistered users (added by a manager, with no active login), you can add Working With Children check details. Otherwise, only the member can edit these on their own Be Collective profile.

Custom fields (Pro and Full Platform)

  1. On the member profile, open the Custom fields panel
  2. Click Edit, update values, then click Save updates

View applications and activity

  • Applications tab — every application the member made to your group's opportunities, with status and application form links (forms appear only when the member applied themselves, not when invited by a manager)
  • Activity tab — hours logged against each opportunity they volunteered for
