How do I request volunteer feedback for an opportunity?
This article is for group managers. It explains the Feedback form: a satisfaction survey sent to eligible volunteers after an opportunity ends.
Each opportunity has one Feedback form. It is separate from the application form volunteers complete when they apply, and from any extra forms you create yourself. See How do I create and send a custom form for an opportunity?
Changing the survey questions is available to Be Collective Plus, Pro and Full Platform subscribers. Every group can turn on the standard survey and read the results.

What volunteers are asked
Until you change it, the survey asks:
- Overall, how satisfied were you with this opportunity? (1 to 5, required)
- Would you volunteer with us again? (Yes or No, required)
- What went well?
- What could be improved?
Turn feedback on
Open your group management page (How do I manage my group?)
Open Opportunities, then open the opportunity
Open Feedback in the opportunity menu
Open the Settings tab
Turn on Request volunteer feedback?
Turn on Publish results on the public opportunity page? if you want a public summary (see below)
Click Save changes
If the opportunity has already ended, saving with feedback on sends the survey straight away to eligible volunteers. If the opportunity is still running, nothing is sent until it ends.
Who receives the survey
The survey goes to volunteers who are still approved on the opportunity and have an approved timesheet that was not marked as a no-show. An approved place on the roster alone is not enough. If nobody has an approved timesheet, nobody is asked.
The opportunity must be published. Each person is asked once. A volunteer whose timesheet is approved after the opportunity has ended can still be included on a later send, for about 30 days after the end date.
Ending an opportunity early updates the end date. The survey then goes out on the next daily send, in the same way as an opportunity that reaches its end date on its own.
Change the questions
On the Feedback page, click Edit form
Add, edit, or remove questions in the form builder
Save the form

Form versions
Each save stores a new version of the questions. Volunteers are not asked until a survey is sent, and the send uses the latest saved version.
That version is then fixed:
- Everyone who is asked, including someone added later when a timesheet is approved, receives that same version
- Their answers stay tied to the questions they were shown
- Report and View response read those answers with that version
After the first request has been sent, Edit form shows Feedback form locked. The message is: survey questions cannot be changed after feedback requests have been sent. You can still turn the request on or off, and you can still change whether results are published.
Send the survey in a message
You can also share the survey in a direct message with a volunteer, once they have already been included in a send. The message does not create a new request, and they can still submit only once.
Open the opportunity's messages and start or open a direct conversation with that volunteer
Click the form button beside the message box (Send form)
Under Send a form, choose Feedback (shown as Volunteer feedback)
The volunteer receives a Feedback form card with Open form. The card text is "Share your feedback for" followed by the opportunity name. Opening it uses their existing request while they are signed in.
If they have not been sent the survey yet, Feedback is listed but cannot be selected, with the note Not available for this volunteer. Turn feedback on and wait until they are included in a send before sharing it this way.
Read the results
Open Feedback, then Report. You will see:
- Invited — how many volunteers were asked
- Responses — how many submitted
- Response rate
Ratings, yes/no questions, and choice questions are shown as charts. Written answers are kept with each person and do not appear in this summary.
Open Participants to see who was asked. Use All, Responded, and Pending, or search by name or email.
- View response opens that person's answers, including written comments
- Resend survey sends the request again to someone who was asked and has not responded yet
Publish a public summary
With Publish results on the public opportunity page? turned on, the public opportunity page shows a Volunteer feedback section after at least 3 people have responded. Fewer than 3 responses stay visible only to managers, even when publishing is on.
The public summary uses the same charts as the Report tab. It does not show names or written comments.
If you are a volunteer
You will receive an email with a link, and the survey also appears under Actions on your dashboard (listed with other opportunity forms).
Open the survey, answer the questions, and click Submit feedback. You can submit once. After that, the page shows Your feedback has been submitted.
A manager may also send the same survey in a direct message. Open the Feedback form card and click Open form. That uses the request you were already sent.
