How do I upload data to my group's custom fields?
This articles shows group managers how to upload member data to their group's custom fields using a CSV file.
Custom fields are available only to Be Collective Pro and Full Platform subscribers. See Be Collective's product plans & pricing.
See How do I set up custom fields? before importing.
Prepare your data
Open Settings → Custom fields
Click Download template
Click Download template again in the pop-up
Populate the template with your data (see How do I complete the custom fields bulk upload template?)
Save the file as .CSV (XLSX and other formats are not accepted)
The template includes First Name, Last Name, and Email identifier columns (do not delete). Columns from the fourth onwards map to your custom fields. Leave cells blank to skip importing data for that field — blank cells do not remove existing data.
You can delete rows for members you do not want to update. For members you do import, do not change the name or email identifier columns.
Start the import
- On the Custom fields tab, click Bulk data import
- Drag and drop your CSV into the upload box, or click the box to browse for the file
If the file is valid, you proceed automatically to column matching.
Match columns to custom fields
Review automatic matches (where CSV column headers match custom field names)
For unmatched fields, open the drop-down and select the corresponding CSV column (one column per field)
Select Do not update for any field you want to skip
Click Next
Verify and finalise
Review the data table — errors are highlighted in pink
Click highlighted entries to correct them inline, or click Show invalid rows only
Click Next to finalise
Click Close on the confirmation pop-up
Possible import issues
Invalid email addresses — duplicate, non-member, or malformed addresses in the email column
Missing identifier columns — do not remove First Name, Last Name, or Email columns
No data detected — file contains only headers
Too much data — limit is 500 rows per import (excluding header); split larger files
Duplicate columns — column headers must be unique
