Our organisation has switched to Be Collective – what's next?

If your organisation or a partner (for instance, your local volunteer centre) have switched to Be Collective from another volunteer management platform, you will have received an email inviting you to complete a registration process and join Be Collective.

This email will be sent to you if the volunteer resource centre or one of the Be Collective team has created a group for your organisation, which can be use to recruit and manage your volunteers.

Accept your invitation and complete registration

  1. Open the invitation email and accept the invitation — you'll be taken to the Be Collective registration page

  2. Review your pre-filled personal details (correct them if needed), create a Password, and click Let's go!

  3. Complete your Group application — this step is required to accept the group invitation

  4. Add and save the appropriate details for at least the compulsory fields (marked with an asterisk), then click Submit application

Once you've completed these registration steps, you'll be a fully-signed up member of Be Collective, and of your organisation's group – congratulations!

Edit your group's details

  1. Enter your group management page

  2. Open the group more menu (⋮), then click Edit group

  3. Update the Appearance / Details sections in Group details

This is a great place to make your group's profile page more appealing and informative for potential volunteers who'd like to find out more about what you do.

Publish draft opportunities

When you enter your group's management page, you may find that your existing opportunities have been pre-loaded to your group profile from your old platform. This service is one of many offered by the Be Collective implementation team if you choose to let us handle set-up for your organisation.

These have been saved as drafts so you have an opportunity to review your opportunities and add any information not covered by the copying process before publishing them.

  1. Click Opportunities in the menu bar on your group management page

  2. Choose an opportunity from the table list and click Edit under its name — if you don't see anything here, no opportunities were migrated; click Create new opportunity instead if you have active opportunities to add

  3. If editing, complete the remaining fields (the title and overview are pre-populated) and click Save and continue to proceed through each step of the opportunity editor — see How do I create an opportunity? for details on each step

  4. On the final Share step, select the groups on Be Collective you'd like to share your opportunity with (all Be Collective users, only members of your group, and/or members of any groups you've partnered with, such as your local volunteer centre)

  5. Click Create opportunity to publish

I can't see any groups to manage – what do I do?

If your group has been set up by a third party other than Be Collective, such as a volunteer resource centre, they may still 'own' the group at this stage.

In such cases, the group owner will be notified when you accept the invitation they sent, and they will then need to add you as a group administrator. Until they do so, you will be part of the group but only as a member. If you need to speed this process along, we encourage you to contact the person who set up the group directly.
